	This series contains the inwards correspondence files of the Department of Defence. Between 1870 and 1878 it was only used by the Militia and Volunteer Branch, and ran parallel with the series of inwards correspondence received by the main office of the Colonial Defence Office/Native and Defence Department (series 27201). It became the main filing system for the Department when the Native Affairs responsibilities were separated out in 1878.

	

	These records were classified using the annual single number system. Each piece of correspondence in a given year was registered with a unique number, preceeded by one of the following prefixes: M&V (1870 to 1896) and D (1896 to 1911). For example, the first letter received in 1870 would have been registered 'M&V 70/1', the second 'M&V 70/2' etc. This number and the details of the letter were then entered into a book register. Indexes were also compiled. From c.1880, a coversheet was provided with each piece of inwards correspondence, which had the file number, date received, name and location of the writer, and subject of the correspondence. Notes detailing responses and actions were usually written on the coversheet by staff members and in some cases, the Minister responsible for the agency.

	

	If another letter on the same subject was received, the earlier correspondence was retrieved and attached to the latest letter. Consequently, for ongoing correspondence, a substantial sheaf of papers would accumulate, with the latest letter filed at the top. However, there are some instances where the original file number was usually retained as further related correspondence continued to accrue.

	This series was superseded by a multiple number subject system of classification at the end of 1911.

	Reference enquiries from private individuals in sealed envelopes, which are restricted for 10 years from date of transfer to protect the privacy of enquirers. At the end of this 10 year period, the restrictions shall be reviewed jointly by the New Zealand Defence Force and Archives New Zealand. (Note: the sealed envelopes do not contain information about service personnel, they are enquiries from private individuals only).

	Note: Reviews are not complete at this time.  All such files should therefore be regarded as restricted until such time as their status is updated to 'open' in Archway.  This applies even if the restriction expiry date, as recorded in the record list on Archway, has been reached or passed.
