PHOTOGRAPHS
Photographs in this series are open access, but are protected for preservation reasons under section 49(1)(a) of the Public Records Act 2005.
Gloves must be worn when viewing photographs, and will be provided by Archives New Zealand.
OTHER RECORDS
Restrictions currently apply to all other records in the series.
Basis of restrictions
Restrictions apply to some records for reasons of national security and economic stability, international relations and individual privacy under the following sections of the Official Information Act 1982: 6 [a, b(I)(ii), d(vi), 7 [a, b and c] and 9 [2(a), 2(d), 2(f)(i), 2(k) ].
Vetting of records
The Ministry of Foreign Affairs and Trade are vetting all records in this series. This involves the inspection of each record to determine the appropriateness of the security classification and restriction for the record. Once vetting has occurred, changes to the restriction of individual records may be made. This process is ongoing.
Access restrictions
- Records marked as open access have been checked by the Ministry of Foreign Affairs and Trade vetting team and are now open to researchers.
- Records marked as either ‘restricted’ or ‘may be restricted’, with or without a date (year) of restriction expiry, are not available for viewing at this time. Access requests for these records should be directed to the Ministry of Foreign Affairs and Trade.
Note: The release of ‘restricted’ or ‘may be restricted’ records is formally confirmed through the Ministry’s annual file release programme. All such records should therefore be regarded as restricted until such time as their status is updated to ‘open’ on Archway. This applies even if the restriction expiry date, as recorded in the record list on Archway, has been reached or passed.
PRESERVATION ACCESS RESTRICTIONS
In addition, some records are protected under section 49(1)(a) of the Public Records Act 2005.
Gloves must be worn when viewing photographs, and will be provided by Archives New Zealand.
A support pillow must be used for objects, and gloves must also be worn when handling objects. These will be provided by Archives New Zealand.
Audio recordings are not issuable due to their technical formats. Once permission to access any such records is given by the Ministry of Foreign Affairs and Trade (if the record content is restricted), or if the records are already open access, contact Archives New Zealand to discuss arrangements for listening to the records or the availability of alternative access provisions. Access to audio recordings is by appointment only
