The application index books were established by the Deeds Registration Act 1856. [1] The Registrar was directed to keep a book called "The Book of Consecutive Numbers" containing in consecutive order the number of each instrument.  Every county of the Auckland Province at that time except for the County of Eden was distinguished by a letter and a separate book was kept for each County.  The application books contain more than one County, which reflects the increase in numbers of counties in the period between 1856-1880.

From examination of the records the following counties or area relating to each letter are:

  • B - Marsden, Whangarei, Hobson, Rodney, Otamatea Counties
  • C - Hokianga County
  • D - Queen's, Coromandel Counties
  • E - Bedford, Bay of Islands Counties
  • F - Banks, Cook's and Waikato Counties
  • G - Rutland, Raglan Counties
  • H - Mangonui [Mongonui], Whangaroa Counties
  • K - Cook's, Thames, Tauranga Counties
  • L - Whakaari or White Island Bay of Plenty
  • M - Whakatane County
  • O - Opokiti County
  • R - Rotorua County
  • W - Waikato, Piako, Waipa Counties
  • O - Area unknown

Information contained in the records and an example is given below:

  • Name:      Weston (appears to be the name of the person that lodged the deed e.g. solicitor so may not match the name in the nominal indexes
  • Record:    F1.255   (reference to record book F1 folio 255 in series
  • Index:       1 F.259  (reference to index book 1F folio 259  in series 23662
  • Reference: Used for any other record or index books that may relate to this deed or deposited deed number in series  

The application books were not used after 1880 and all further records were registered in the primary numerical indexes in series 23654.  In 1880 Crown Grants were replaced by Warrants [2] and so new areas of land were not registered in the Deeds System.
