	The Black and White Reference Prints are arranged by subject classification. The type of system used for this arrangement is an adaptation of the Oxford System of Decimal Classification for Forestry. This is the same system of classification that is used for the Master Slides (AAQA 6503), Col Catalogue [Colour Reference Prints] (AAQA 6508), and the Col Catalogue (Archives) Index (AAQA 6509).

	

	The Oxford System of decimal classification was authorised by the International Union of Forest Research Organisations in 1953 as the standard universal system of classification and bibliography for forestry organisations. This system uses primary subject headings numbered between 0-9. Each primary subject heading is sub-divided for sub-topics by the use of extra digits between 0-9 and can be further sub-divided for further sub-topics by the use of further digits.

	

	Sub-divisions beyond three digits are shown as decimal points. For instance, primary subject heading 1 is Factor of the Environment. Biology. Sub-heading 11 is Site Factors: Climate, Situation, Soil, Hydrology (Water Conservation, Soil Conservation and Erosion) and the further sub-heading 111 is The Atmosphere. Meteorology. Climate and Microclimate. Sub-heading 111.2 is Radiation and Temperatures. It should be noted that all digits used in this classification system work as decimal points. Therefore, 111 Meteorology will precede 2 Silviculture. Decimal points that are used after three digits are there mainly to break up long numbers.

	

	The system described above was adapted for use by the New Zealand Forest Service Photo Library. Not all sub-headings were used, probably because they were not relevant to the photographic collection held by the Photo Library. No primary subject heading O was used, instead this was replaced by the word "Species" with sub-divisions for "Exotic", "Indigenous", "Fruit" etc.

For further information on the Oxford System of Decimal Classification for Forestry please consult The Oxford System of Decimal Classification for Forestry, Eino Sarari, published by the Commonwealth Agriculture Bureau, 1954. A copy of which is held at the National Library, Wellington.

	

	Most Reference Prints bear a red New Zealand Forest Service Photo Library label on the reverse side. The information contained on the label usually includes:

	

	· Negative Number

	· Caption

	· Location of Photograph

	· Photographer

	· Date of Photograph

	· Print Number

	· Subject Classification

	· Relevant corresponding colour negative and/or slide numbers

	

	The Black and White Reference Prints are housed in manila folders. Originally the folders were held in file cabinets - the Item  Number column of the list is annotated with the original drawer and folder locations (for example, 2/1 signifies drawer 2, folder 1). A list of the prints that are contained in the folders will usually be annotated on the outside. Prints that have been "deleted" or "withdrawn" and destroyed are crossed out on the list.

	These Black and White Prints are now being progressively added to this series at item level rather than folder level so that researchers will be able to eventually see a full and comprehensive list of prints, without needing to refer to the registers.

	

	Often when a black and white photograph was taken for the 'M' group of negatives (AAQA 6395), by the New Zealand Forest Service Photographer, Mr John Johns, a colour and slide photograph of the same scene would be taken at the same time. Hence, many of the prints made from 'M' negatives will also bear associated colour and slide numbers on the print label.

	

	Access by researchers to the Black and White Reference Prints should primarily be made through the Black and White, Colour, Slide Subject Index (AAQA 6507). The Negative Registers (AAQA 6505) and the Contact Print Registers (AAQA 6504) may also provide access, but as they are arranged chronologically in negative number order, they will be time consuming to use.

	The Black and White Reference Prints are not restricted. Care should be taken when handling these because of their fragile condition. No public access is permitted to negatives or unique prints held within the New Zealand Forest Service Photographic Collection.

	

	Written permission to reproduce photographic images must be obtained from the Director and Chief Archivist, Archives New Zealand, Wellington.

	

	Acknowledgements when reproducing photographic images obtained from this collection must state; "National Archives - New Zealand Forest Service Collection", together with the appropriate Archives reference.
